Administrative Assistant

About the Opportunity:

We are seeking one (1) highly motivated, team orientated individual to join the Avon River Days Society as a temporary full time Administrative Assistant through the Canada Summer Jobs Program. Reporting to the Chair or delegate, the primary objective of the role is to provide administrative and clerical support to ensure the success of Avon River Days, a weekend long summer festival taking place August 1 to 3, 2025.

Key Duties & Responsibilities:

  • Provide administrative and clerical support such as creating and monitoring application forms for vendors, parades, sponsors.
  • Responding to inquiries and other correspondence.
  • Perform data entry on various projects.
  • Prepare and modify documents including correspondence, reports, drafts, memos and emails.
  • Provide support for reaching event sponsors, media and news outlets.
  • Assist with event box supply inventory and organization.
  • Coordinate the thank you gifts for sponsors in a timely fashion.
  • Support development of any festival reports required before end of employment term.
  • Attend Avon River Days Society meetings, some evenings required.
  • Must attend and work during the Avon River Days festival, August 1 to August 3 (up to and not exceeding full time hours).

The Ideal Candidate:

  • High school diploma or equivalency; completion of one (1) year or more of post-secondary
    schooling is an asset.
  • Demonstrated ability to effectively communicate both verbally and in writing.
  • Proven ability to utilize, adapt and embrace new technologies, including Word, Excel and other
    database/software.
  • Handle sensitive information in a confidential manner.
  • Experience volunteering with community organizations is an asset.

Other Comments:

  • As per Canada Summer Jobs criteria, candidates must be;
    • Between 15 and 30 years of age (inclusive) at start of employment.
    • A Canadian Citizen, permanent resident, or a person on whom refugee protection
      has been conferred under the Immigration and Refugee Protection Act.
    • Legally entitled to work according to NS legislation and regulation.
  • Other duties may be assigned as needed to help ensure the efficient operation of Avon River Days.
  • Ability to provide a satisfactory Criminal Record Check and Vulnerable Sector Check.
